Research Development Program Specialist

The Southern California Clinical and Translational Science Institute’s (SC CTSI) Research Development Project Coordinator will help initiate, implement, pilot and assess new program efforts focused on faculty development programs, the building of multidisciplinary research teams, and evaluation and tracking of research programs and pilot funding outcomes.

Ideal Candidate will have:

  • Excellent communication: Excellent communication is needed to ensure collaboration and execution across a wide range of University offices and staff as well as external stakeholders including business community members, venture capitalists, industry, foundations and government agencies.
  • Strong project coordination: Strong project coordination skills required to navigate complex operational processes, drive projects forward and adhere to program deadlines.
  • Strong collaboration: Strong history of collaboration reflective of the strong collaborative climate between programs at SC CTSI necessary to achieve institutional goals.
  • Cultural competency experience: A leader in diversity and inclusion reflective of the diversity statements for the SC CTSI and Keck School of Medicine

Key Responsibilities:

Program Services/Activities Coordination

  • Serves as a resource for all research development program information within SC CTSI and its partners.
  • Submits updates to the website on all program activities.
  • Provides client services by responding to inquiries and requests for information regarding specific program functions.

  • Schedules meetings and/or plans events and generates and archives program documents and files.
  • Coordinate program services with other offices and staff on campus.
  • Arranges with vendors for services.
  • Supports Director, Co-Director and Research Program Administrator in preparing written or electronic documents on an as needed basis.
  • Ensures satisfactory follow through on assigned areas of responsibility.

Pilot Funding Program Support

  • Maintain communication with past and prospective pilot applicants.
  • Funding award/post award process and coordination: set-up executive meetings for pilot awards, prepare agenda, prepare packets; prepare and send awardee notification and letters to those not funded.
  • Assembles pilot applications and review materials and administratively updates the grant application and review portal to facilitate the pilot grant cycle process.
  • Contributes to program development by participating in writing pilot funding meetings.
  • Interacts with SC CTSI’s Evaluation and Improvement core to generate and run progress report and pilot award outcomes.
  • Set-up of interactive conferencing as needed (e.g. web, Phone, and video conferencing portable capture systems).
  • Track and maintain data for the pilot outcomes and masters spreadsheets.
  • Track and maintain data for the application and grant review portal (e.g, reviewers assigned; applications received etc.)
  • Track progress, post updates, compile scores and statistics, funding award tracking and outcomes.

Program Material Production/Distribution

  • Gather data on workshop and event needs and opportunities and participating in developing and implementing strategies to promote the program.  Supports the development of informational materials and planning of activities and events to support marketing strategies.
  • Creates, coordinates production, and distribution of program materials including meeting agendas, reports, informational materials, marketing materials, PowerPoint presentations, etc.
  • Archives all documentation via hard copy and/or electronically.
  • Attends events, meetings or participates in appropriate professional associations of network on behalf of program services.
  • Reads pertinent literature.
  • Establishes and maintains an active network of professional contacts.
  • Develops online surveys to advertise and evaluate program activities.
  • Other duties as assigned

Minimum Education: Bachelor's degree or combined experience/education as substituted for minimum education

Minimum Experience: 2 years of experience or combined education/experience as substituted for minimum experience in directly related field of administrative support services and either clinical, basic, and/or population based research for preferred education/experience.

Minimum Field of Expertise: Proficient in Microsoft suite of productivity applications such as Word, Excel (essential), PowerPoint (essential), Outlook (essential), and Publisher. Excellent written and oral communication skills.
