The Healthcare Delivery Science (HDS) Administrative Assistant supports the administration of a variety of education and research programs for the SC CTSI Healthcare Delivery Science core group and the Southern California Healthcare Delivery Science Center, which aim to enhance healthcare access, quality of care, ​and health outcomes to achieve health equity​. Main areas of responsibility include patient engagement, training programs, networking events, and consultation tracking.

Key Responsibilities:

  • Support administrative functions for HDS training programs, including promotion, enrollment, payment, and course platform management
  • Coordinate quarterly webinars by helping identify speakers/topics and communicating with co-host and presenters
  • Support the planning, organization, production, and post-event activities for the annual DESCIPHER symposium
  • Develop promotional and marketing materials for HDS events and projects, including but not limited to annual symposium, education seminars, and grants
  • Secure sponsorships for HDS annual symposium
  • Manage HDS Center’s social media platforms
  • Support the development of HDS research resources
  • Support promotion of all education and networking activities
  • Ensure regular communication with patient advisory groups
  • Solicit and document priorities, identify themes across groups
  • Communicate patient priorities to grants administrator and researchers
  • Support the communication of research findings to patient groups
  • Coordinate consultation requests and referrals to outside experts
  • Provide ongoing tracking of consultation and mentorship activities to completion, including documentation and tracking of outcomes
  • Schedule and arrange meetings with investigators
  • Attend meetings as assigned, prepare agendas, gather and organize supporting information, and assist in the production and distribution of related materials
  • Participate in the development and production of documents and reports for programs, USC and NIH
  • Assist in procurement, reimbursement and invoicing functions
  • Other duties as assigned to support the Healthcare Delivery Science functions

Ideal Candidate will have:

  • Excellent communication and organization skills
  • Administrative support experience
  • Project management
  • USC financial and procurement experience
  • Intermediate MS Office: Excel, Outlook, Word
  • Problem identification and resolution

The hourly range for this position is $22.29 - $26.44. Minimum Education: Associate's degree, Combined experience/education as substitute for minimum education
Minimum Experience: 2 years
Minimum Field of Expertise: Secretarial or specialized clerical, including some administrative experience.
